Summary of Our Privacy Policy

This Privacy Policy applies to every WorksBuddy website, web application, mobile application, and SaaS product that links to it including LIO, Taro, Evox, Revo, Inzo, Sigi, SChat, and Ranko (collectively, "WorksBuddy Products"). The detailed policy that follows this summary constitutes the full legal document and mirrors this summary's structure.

Our Privacy Commitment: WorksBuddy has never sold your personal information to third parties for advertising, nor have we ever monetised our platform through third-party advertising. We are committed to collecting only the minimum information required to deliver our services. This policy describes what information we collect, how we use it, who can access it, and the choices you have.

This policy is organised into three parts:

  • Part I - Information WorksBuddy collects and controls
  • Part II - Information that WorksBuddy processes on your behalf (service data)
  • Part III - General provisions, security, legal disclosures, and policy changes

Part I - Information WorksBuddy Collects and Controls

Scope of this Privacy Policy

This Privacy Policy applies to all WorksBuddy websites, mobile applications (Android and iOS), and cloud-based products and services. It covers the following WorksBuddy products:

  • Lio - AI-powered lead management and CRM platform.
  • Taro - Task and project management product for teams of all sizes.
  • Evox - Email marketing and campaign automation platform.
  • Revo - Workflow automation and cross-agent orchestration engine.
  • Inzo - Invoicing, billing, and financial operations platform.
  • Sigi - E-signature and contract management platform.
  • SChat - AI-first team messaging and collaboration product.
  • Ranko - SEO content engine and AI visibility optimization platform.

This Privacy Policy does not apply to any WorksBuddy product or service that maintains a separate, standalone privacy policy.

What Information WorksBuddy Collects

We collect information about you only where we have a legitimate purpose for doing so. Information comes to us in three ways: (a) information you actively provide, (b) information we collect automatically, and (c) information we receive from third parties.

A. Information You Provide Directly

i. Account Sign-Up: When you create a WorksBuddy account — whether for LIO, Taro, Evox, Revo, Inzo, Sigi, SChat, or Ranko — we collect your full name, business email address, phone number, company or organisation name, country, and a username and password of your choosing. You may optionally provide a profile photo, time zone, and preferred language; these are not required to create an account.

ii. Product Onboarding and Form Submissions: When you register for a WorksBuddy webinar or training event; subscribe to our newsletter or product updates; download whitepapers, product guides, or other materials; participate in surveys or user-research sessions; or submit a support, quotation, or contact request — we record the information you submit in those forms.

iii. Payment Processing:When you purchase a WorksBuddy subscription or add-on, we collect your name, billing address, and payment details. Full payment-card numbers are never stored by WorksBuddy. We retain only the cardholder name, billing address, card expiry date, and the last four digits of the card number. Full card data is handled exclusively by our PCI-DSS-compliant payment gateway partners, and may be stored in encrypted form by those partners with your explicit consent for future transactions.

iv. Testimonials and Case Studies: If you agree to provide a testimonial or participate in a WorksBuddy case study, we may include your name, job title, company, and likeness on our marketing materials. We will share a draft for your review and written approval before publishing. To update or withdraw a testimonial, contact marketing@worksbuddy.ai.

v. Customer Support Interactions: Calls, emails, live-chat sessions, and in-product support tickets with our support and success teams may be recorded and analysed to improve service quality, train our teams, and resolve your issues. We will inform you at the start of any recorded session.

B. Information Collected Automatically

i. Browser, Device and Server Data: When you visit any WorksBuddy website or use a WorksBuddy product, standard web-server logs collect your IP address, browser type and version, operating system, device model, language and time-zone preference, referring URL, pages visited, and date/time of access. This data helps us operate, secure, and improve our services.

ii. Cookies and Similar Tracking Technologies: We use first-party session and persistent cookies, local storage objects (HTML5), and similar technologies to authenticate your session, remember your preferences, and understand how you navigate our products. We do not use non-essential or intrusive third-party advertising cookies or cross-site tracking technologies. You may disable cookies in your browser settings; however, doing so may impair product functionality. You can review our Cookie Policy at worksbuddy.ai/cookies.

iii. In-Product Usage and Analytics Data: Each WorksBuddy product captures usage events such as feature interactions, button clicks, navigation paths, session duration, error events, performance metrics, storage consumed, and user-configured settings. This data is used exclusively to improve product performance, prioritise new features, and personalise your experience. We use our own in-house analytics infrastructure; we do not share raw usage data with third-party analytics advertising platforms.

C. Information Received from Third Parties

i. Federated Authentication (SSO): You may log in to WorksBuddy products using supported identity providers such as Google Workspace, Microsoft Azure AD, or LinkedIn. When you choose to authenticate via these providers, they share your name and email address with us (and, where you grant permission, your profile photo and organisation details) to establish your WorksBuddy session.

ii. Referral Programmes: If a WorksBuddy partner, reseller, or existing customer refers you through our referral programme, they may share your name, email address, and company name with us. We will use this solely to follow up on the referral. You may request removal of this data by emailing marketing@worksbuddy.ai.

iii. Resellers and Channel Partners: If you express interest in WorksBuddy through an authorised reseller or system integrator, that partner may pass your contact details to us. If you attend a WorksBuddy-sponsored event, the event organiser may share attendee information with us.

iv. Public Social Media and Review Platforms: When you post about WorksBuddy products on LinkedIn, Twitter/X, G2, Capterra, Product Hunt, or similar public platforms, we may collect publicly available posts, ratings, and profile information to respond, improve our products, or (with your consent) republish your feedback. Please note: this information may remain in our records even if you subsequently delete it from the originating platform.

D. Google User Data

When you connect Google services to our platform, we may collect and process data from the following services:

  • Gmail: Email metadata (sender, recipient, timestamp, subject) and content, only when explicitly authorised by the user for AI automation functions.
  • Google Calendar: Event details including titles, descriptions, dates, times, and participants, only when explicitly authorised by the user for scheduling functions.
  • Google Drive: File metadata and file contents, only when explicitly authorised by the user for AI agent functions.
  • Google Sheets: Spreadsheet metadata and content, only when explicitly authorised by the user for AI automation.
  • Google Docs: Document metadata and content, only when explicitly authorised by the user for AI automation.

Google User Data Restrictions:

  • We do not use Google user data for advertising purposes.
  • We do not share Google user data with third parties except as required to provide the requested AI automation services.
  • We only access Google user data with explicit user consent and only for the requested AI functions.
  • Users can revoke Google permissions at any time through their Google account settings at myaccount.google.com/permissions.
  • We do not use Google Workspace APIs to develop, improve, or train generalised AI or machine learning models.

Purposes for Using Your Information

We use the information we collect for the following purposes:

  • To create, maintain, and authenticate your WorksBuddy account across all products you use.
  • To deliver, operate, and personalise the WorksBuddy products and services you have subscribed to.
  • To process payments, issue invoices, and manage billing and subscription management.
  • To provide technical support, troubleshoot issues, and improve our customer success interactions.
  • To send you transactional communications: account notifications, security alerts, renewal reminders, and payment receipts.
  • To send you product updates, release notes, webinar invitations, and relevant promotional content (you may opt out of marketing communications at any time).
  • To conduct user research, surveys, and usability testing to inform product roadmap decisions.
  • To monitor, detect, and prevent fraud, abuse, spam, and unauthorised account access.
  • To comply with applicable laws, respond to lawful governmental requests, and enforce our Terms of Service.
  • To analyse aggregate, de-identified usage trends to improve the performance, reliability, and feature set of all WorksBuddy products.
  • To train and improve WorksBuddy's AI and automation features using anonymised or aggregated data — see Section 8 on Automation and AI.

Your Choices Regarding Your Information

  • Opt Out of Marketing Communications: All marketing and promotional emails from WorksBuddy include a one-click unsubscribe link. Opting out will not affect transactional or security-related communications.
  • Cookie Preferences: You may disable non-essential cookies through your browser settings or our cookie preference centre at worksbuddy.ai/cookies.
  • Optional Profile Data: Profile photo, bio, and similar optional fields are never required. You may update or delete optional profile information at any time from your account settings within any WorksBuddy product.
  • Account Deletion: You may request deletion of your WorksBuddy account and associated personal data by contacting marketing@worksbuddy.ai or using the in-product account-deletion flow where available. See Section 10 for data-retention details.

Who We Share Your Information With

WorksBuddy does not sell personal information. We share information only as described below, and only with parties who maintain appropriate confidentiality and security standards.

  • WorksBuddy Group Entities: All entities within the WorksBuddy group have access to personal data collected under Part I on a strict need-to-know basis, subject to this Privacy Policy.
  • Employees and Contractors: Only WorksBuddy employees and vetted contractors with a legitimate operational need may access your personal information. All personnel are bound by confidentiality obligations and receive privacy training.
  • Third-Party Service Providers: We engage third-party vendors for cloud hosting, payment processing, email delivery, product analytics, and customer support tooling. These vendors are contractually authorised to use your personal data only for the specific services they provide to WorksBuddy. We do not share your mobile phone number or SMS opt-in status with third parties for advertising purposes.
  • Authorised Resellers and Partners: We may share your name and contact information with authorised WorksBuddy resellers in your region solely for the purpose of fulfilling the product or service you have enquired about or subscribed to.
  • Legal and Safety Disclosures: We may disclose personal data if required by law, regulation, or a valid governmental or court order, or where disclosure is necessary to prevent fraud, enforce our policies, or protect the safety of our users.

Your Rights Regarding Your Personal Data

Regardless of where you are located, WorksBuddy commits to honouring the following rights:

  • Right to Access: Request a copy of the personal data we hold about you.
  • Right to Rectification: Request correction of inaccurate or incomplete personal data.
  • Right to Erasure: Request deletion of your personal data where it is no longer necessary for the purposes for which it was collected.
  • Right to Restriction of Processing: Request that we limit our processing of your data in certain circumstances.
  • Right to Data Portability: Receive your personal data in a structured, commonly used, machine-readable format.
  • Right to Object: Object to processing of your data based on legitimate interests, or processing for direct marketing purposes.
  • Right to Complain: Lodge a complaint with your local data-protection supervisory authority if you believe we have processed your data unlawfully.

To exercise any of these rights, email marketing@worksbuddy.ai. We will respond within 30 days (or as required by applicable law).

Data Deletion Requests: To request deletion of your personal data, email marketing@worksbuddy.ai with the subject line "Data Deletion Request" or submit your request at worksbuddy.ai/contact. We will process your request within 30 days of receipt.

Automation and Artificial Intelligence

WorksBuddy products incorporate AI-powered features such as intelligent task suggestions, performance predictions, workflow automation, sentiment analysis, and natural-language search.

  • Anonymised, aggregated crops of service data may be used to improve the accuracy of our AI models. Individual records are anonymised before use in model training.
  • Organisation-specific data may be used to build models scoped exclusively to your organisation, and this data is never shared across organisations.
  • WorksBuddy's AI systems are primarily trained on our own internal datasets and licensed external corpora — not on your personal data or service data.
  • We never sell or license service data or personal data for third-party AI training purposes.
  • We do not use Google Workspace APIs to develop, improve, or train generalised AI or machine learning models.

Mobile App Permissions

The WorksBuddy Android and iOS applications may request the following device permissions solely to enable specific product features:

  • Notifications: Required to deliver task alerts, chat messages via SChat, workflow status updates, and deadline reminders within LIO, Taro, Revo, Inzo, Sigi, SChat, and Ranko.
  • Storage Access: Required to upload documents, export reports, save attachments, and manage files within Taro, Revo, and Inzo.
  • Camera Access: Required for profile photo uploads and document capture features within Inzo and Sigi.
  • Microphone Access: Required for voice-message features within SChat and voice-command input where supported.
  • Media and Photo Library Access: Required for uploading images, attachments, or media to tasks, projects, or chat conversations.
  • Contacts Access: Required to find and invite colleagues or collaborators within SChat and Taro. Contact data is used only for this purpose and is not uploaded to WorksBuddy servers without your explicit action.

WorksBuddy does not access, read, upload, or transmit your files, photos, videos, microphone audio, or camera data unless you have explicitly granted the relevant permission AND have taken a deliberate action that requires it. You may revoke any permission at any time through your device's Settings application.

Retention of Information

We retain your personal information for as long as necessary to fulfil the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements.

  • Account data: retained for the duration of your active subscription and for up to 12 months after account termination.
  • Payment and billing records: retained for 7 years in accordance with financial and tax regulations.
  • Support and communication logs: retained for up to 3 years for service quality and legal purposes.
  • Usage and analytics data: retained in anonymised or aggregated form indefinitely for product improvement purposes.

Part II - Information WorksBuddy Processes on Your Behalf

Service Data

When you use WorksBuddy products to manage information about your own customers, employees, or other individuals, you are entrusting that data to WorksBuddy for processing. This data is referred to collectively as "Service Data."

You are the data controller of your Service Data. WorksBuddy acts as a data processor and processes Service Data only on your instructions, as set out in our Terms of Service and any applicable Data Processing Addendum (DPA).

Ownership and Control of Service Data

You own your Service Data. WorksBuddy provides you full control through the ability to:

  • Access and view your Service Data within each WorksBuddy product at any time.
  • Export your Service Data in standard machine-readable formats via the in-product export features.
  • Delete your Service Data using in-product deletion controls or by submitting a formal deletion request to marketing@worksbuddy.ai.
  • Integrate your Service Data with supported third-party tools through WorksBuddy's published APIs and integrations.

How WorksBuddy Uses Service Data

We process your Service Data strictly to deliver the functionality of the WorksBuddy products you have activated:

  • Lio: Processing lead profiles, AI scores, sales pipeline data, and CRM records.
  • Taro: Managing tasks, projects, timelines, and team collaboration data.
  • Evox: Executing email campaigns, drip sequences, A/B tests, and campaign analytics.
  • Revo: Processing automated workflows, cross-agent triggers, and integration data.
  • Inzo: Managing invoices, billing records, payment tracking, and cash flow data.
  • Sigi: Processing document signing workflows, contract data, and audit trails.
  • SChat: Transmitting messages, files, and notifications between users within your organisation.
  • Ranko: Processing keyword data, content drafts, SEO rankings, and AI visibility metrics.

WorksBuddy does not mine, sell, or use Service Data for any purpose other than delivering the services you have contracted for, unless required by law.

Sub-Processors and Internal Access

  • Authorised Sub-Processors: WorksBuddy may engage third-party sub-processors such as cloud infrastructure providers to host and process Service Data on our behalf. A current list of our sub-processors is available at worksbuddy.ai/subprocessors.
  • Internal Access: Access to Service Data by WorksBuddy employees is restricted to individuals with a specific, documented operational need. All such access is logged and subject to audit.
  • Third-Party Integrations You Enable: If you connect WorksBuddy products to third-party services using our integration framework, you may be authorising those third parties to access or receive your Service Data. We recommend reviewing the privacy policies of any third-party service before enabling an integration.

Retention and Deletion of Service Data

WorksBuddy retains your Service Data for as long as your account is active. Upon termination of your account:

  • Service Data will be deleted from active production databases within 6 months of account termination.
  • Service Data will be purged from backup systems within a further 3 months (9 months total from account termination).

Data Subject Requests Relating to Service Data

If you are an individual whose personal data has been processed by WorksBuddy as part of a customer's Service Data, your data-subject rights should be directed in the first instance to the organisation that controls that data. WorksBuddy will cooperate with that organisation to fulfil your request within a reasonable timeframe.

Data Processing Addendum

To assist customers in meeting their own data-protection obligations under GDPR, UK GDPR, and comparable regulations, WorksBuddy is prepared to enter into a Data Processing Addendum (DPA) that reflects EU Standard Contractual Clauses (SCCs). To request a DPA, email at: marketing@worksbuddy.ai.

Part III - General Provisions

Children's Personal Information

WorksBuddy products and services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete it promptly. If you believe a child under 18 has provided personal information to WorksBuddy, please contact marketing@worksbuddy.ai.

If you use WorksBuddy products to process data relating to minors in a professional or educational context, you acknowledge that you are responsible for complying with all applicable laws and regulations governing the protection of minors' personal data.

Data Security

WorksBuddy implements administrative, technical, and physical safeguards to protect your personal data and Service Data:

  • Encryption of data in transit (TLS 1.2 or higher) and at rest (AES-256 or equivalent).
  • Role-based access controls and multi-factor authentication for all internal systems.
  • Regular penetration testing and vulnerability assessments.
  • Formal incident response and breach notification procedures.
  • Vendor security assessments for all sub-processors.

International Data Transfers

Your personal data and Service Data may be transferred to, stored in, and processed in countries other than your country of residence, including India and countries where WorksBuddy's cloud infrastructure partners operate. For transfers from the EEA or UK, WorksBuddy relies on approved transfer mechanisms such as EU Standard Contractual Clauses (SCCs). To obtain a copy of the applicable transfer agreements, email marketing@worksbuddy.ai.

Third-Party Websites and Social Media Widgets

WorksBuddy websites and products may contain links to third-party websites or social media sharing widgets. These third parties have their own privacy policies, which we do not control. We recommend reviewing the privacy policies of any third-party site before submitting personal information.

Blogs, Community Forums, and Public Content

WorksBuddy may offer publicly accessible community forums, blogs, or discussion boards. Any information you post in these public areas is visible to all visitors and may be indexed by search engines. If you wish to have content removed, contact marketing@worksbuddy.ai; however, we cannot guarantee removal of content that has been copied or cached by third parties.

Do Not Track Signals

Some web browsers transmit "Do Not Track" (DNT) signals to websites. There is currently no universally accepted standard for how websites should respond to these signals. WorksBuddy does not currently respond to DNT signals. If and when a universal standard is established and adopted, we will review our approach accordingly.

Business Transfers

In the unlikely event of a merger, acquisition, or asset sale, we will take reasonable steps to ensure that the acquiring entity is contractually bound to honour this Privacy Policy. We will notify affected users via email or a prominent notice on our website before any transfer of personal data to the new entity.

Notification of Policy Changes

We may update this Privacy Policy from time to time. For material changes that affect your rights, we will provide at least 30 days' advance notice via email to your primary account email address and/or a prominent in-product notification. For minor, non-material changes, we will update the "Last Updated" date at the top of this document. Continued use of WorksBuddy products after the effective date of any change constitutes your acceptance of the revised policy.

WorksBuddy LIO Privacy Policy

WorksBuddy LIO ("LIO", "the extension", "we", "us") is a Chrome extension that lets users capture LinkedIn prospects into their WorksBuddy account. This policy explains what data the extension handles and why.

What the extension does

LIO lets a signed-in user save LinkedIn profiles and Sales Navigator search results to their WorksBuddy account. When the user clicks "Add to LIO," the extension reads the prospect information on the page the user is viewing and sends it to WorksBuddy, where it is stored, tagged with a pipeline stage, and enriched with AI-generated prospect briefs and contact details.

Data we collect

Account and authentication data. When you sign in, we process your WorksBuddy account credentials and session tokens to authenticate you and sync your data to the correct account.

Prospect data you capture. When you choose to save a prospect, we collect the information visible on that LinkedIn or Sales Navigator page, which may include name, job title, company, location, profile URL, and other professional details. This is third-party data about the prospect, captured at your direction.

Settings and usage data. We store your extension preferences and the records you have saved so we can restore your session and avoid duplicate lookups.

We do not collect health information, financial or payment information, personal communications, location data, or general web browsing history.

How we use data

We use the data above only to:

  • authenticate you and connect the extension to your WorksBuddy account
  • save prospects you capture into WorksBuddy
  • generate prospect briefs and reveal contact information for saved prospects
  • store your settings and improve the reliability of the extension

We do not sell or transfer user data to third parties outside the approved use cases described in the Chrome Web Store policies. We do not use data for purposes unrelated to the extension's single purpose, and we do not use data to determine creditworthiness or for lending.

When the extension reads page data

LIO only reads page content on LinkedIn (including Sales Navigator) and only when you take an action such as clicking "Add to LIO" or running a bulk capture. It does not read or monitor pages on other websites, and it does not track your browsing across tabs.

Data storage and sharing

Captured data is stored in your WorksBuddy account on our servers. Contact enrichment may involve trusted third-party data providers acting on our behalf under confidentiality terms. We do not share your data with third parties for their own marketing.

Data retention and deletion

Your saved prospects and account data remain available until you delete them or close your WorksBuddy account. To request deletion of your data, contact us at marketing@worksbuddy.ai.

Security

We use industry-standard measures, including encryption in transit, to protect data handled by the extension and our services.

Your responsibilities

You are responsible for using LIO in line with LinkedIn's terms and applicable laws, including data protection rules that apply to prospect information you capture.

Changes

We may update this policy. Material changes will be reflected by updating the date above and, where appropriate, notifying users.
