Document Status Lifecycle

Seven tracked lifecycle stages with logged transitions that show exactly where each contract sits.

Sigi tracks each document across seven lifecycle stages and logs every transition with a timestamp and the user who triggered it, so the team always knows the current state of every contract.

How it works

A document starts in draft during preparation, then moves through scheduled, pending, and in progress as it is sent and signers act. It ends in one of three states: completed, declined, or expired. Declined and expired are handled automatically without manual intervention.

Most transitions happen automatically based on document events. Sending a draft moves it to pending, the first signer action moves it to in progress, and all signers completing moves it to completed. A scheduled time arriving moves a document from scheduled to pending. Every transition is logged with the exact timestamp, the actor who caused it, and the new state.

Key capabilities

  • Five forward stages: draft, scheduled, pending, in progress, and completed.
  • Two automatically handled exit states: declined when a signer rejects, expired when the validity window closes.
  • Automatic transition handling based on document events, with no manual status updates.
  • Transition logging that captures timestamp, user attribution, and the new state.
  • System recorded as the actor for automatic transitions such as expiration.
  • Filtering by stage across dashboards and reports.

Tips

Lifecycle stages are the foundation for operational visibility. Reports and Analytics filter by stage and track time in each stage, and the Immutable Audit Trail records every transition.
