Expiration Reminders
Automatic reminder emails before a document's validity window closes, plus hourly auto marking of expired documents.
Expiration reminders send automatic emails before a time bound document expires and mark expired documents automatically, so contract status always reflects current reality.
How it works
When a document is sent with a defined validity window, its expiration date is set and the reminder schedule activates against it. Reminders fire at 7, 3, and 1 day before expiration, with progressively increasing urgency. Each reminder goes to both the sender and the pending signers. A background scan runs every hour to identify documents past their expiration date and mark them as expired, which moves them out of the active dashboard while keeping them accessible in history.
The 7-3-1 schedule can be adjusted per contract type or per contract. The team can also extend a validity window before expiration, which resets the reminder schedule against the new date.
This feature fires on time. Stalled signer alerts fire on signer behavior, and many teams use both.
Key capabilities
- Reminders at 7, 3, and 1 day before expiration.
- Both the sender and pending signers notified on each reminder.
- Hourly background scan that auto marks documents past their expiration date.
- Status that always reflects current state, with no manual cleanup required.
- Configurable schedules per contract type or contract, including extended validity windows.
- Standard email delivery to existing inboxes, with no separate notification system.
Tips
Reminders only apply to documents with a defined validity window. Documents without an expiration date do not trigger the reminder schedule.
