Global Search and Organization
Search the entire document library with filters, organize documents in folders with access control, and collaborate through comments.
Global Search and Organization lets teams find any document across the library in seconds, organize documents in hierarchical folders with folder-level access control, and collaborate through in-document comments.
How it works
Global search returns matching documents from across the team's entire library regardless of which folder they are filed in, matching against titles, content, signer names, custom field values, template names, and tags. Results respect folder-level access control, so users see only documents they are permitted to access. Filters narrow results by document type, status, and template, and recent and popular searches surface for fast repeat lookups. Documents are organized in hierarchical folders and can be moved between them with a click while retaining their history, comments, audit trail, and signing state.
Key capabilities
- Global document search across the full library, returning results in seconds.
- Filters by document type, lifecycle status (draft, pending, in progress, completed, declined, expired), and template, combinable in one query.
- Recent and popular search tracking for one-click repeat lookups.
- Hierarchical folders with arbitrary nesting depth to match team structure.
- Folder-level access control layered on top of the platform's admin, manager, and viewer roles, including the ability to restrict specific folders.
- Move documents between folders individually or in bulk without losing history.
- Document comments that stay attached to the document, timestamped and attributed.
Tips
Folder-level access control can override broader role permissions, so even a manager can be restricted from a specific sensitive folder.
